Many people ask us: Does Vanillaplan charge according to projects, users or functions? Our answer: Per managed employee. In this article, we explain why this is not only fair, flexible and transparent, but also how it makes planning a real team affair.

Do you charge based on construction projects, users or function?’ We hear this question time and time again – at trade fairs, in demos or during initial meetings.

Our answer is simple: we charge per employee managed. Period. But why is that?

1. Because billing takes place where the benefit arises

Our customers use Vanillaplan to better plan their employees – so the central unit is the person on the construction site or in the project. This is exactly where the planning effort arises – and this is exactly where our software makes the difference. That's why it's clear to us: the person you move back and forth in the calendar is the unit we charge for.

The more people you plan, the more you benefit from Vanillaplan. The smaller the team, the less effort – and the lower the costs. We think that's fair.

2. Because it's simple – for you and for us

At the beginning, you may have 20 employees, but a few months later you may already have 25 – we know how quickly things change on a construction site. With our model, you don't have to adjust contracts or have lengthy upgrade discussions. Flexible for you and simple for us.

3. Because it's transparent: you only pay for what you use

We don't like price lists with footnotes. With our model, you know exactly what to expect: one managed employee = one fixed price. No hidden additional costs, no surprises at the end of the month. Comprehensible and transparent.

4. Because our model grows with you

Whether you have 200 or 10 employees, the price adapts to your actual needs. Even small businesses can get started right away without high entry costs, and our pricing model grows organically with them. Whether large or small, you always get exactly what you need.

5. Because good planning integrates everyone

We want Vanillaplan to be more than just a planning tool for department heads; we want it to be a tool for the whole team. From sales to project management to administration, everyone benefits from joint planning, which improves coordination throughout the company.

And that's exactly why we don't charge per user. We don't want you to have to discuss who gets access and who doesn't – we want you to simply give access to everyone who needs it. This makes planning a team effort. And that creates clarity, promotes collaboration and communication, and makes daily organisation a lot more pleasant.

In short:

We charge per managed employee because it's the fairest, most flexible and transparent model – and it allows planning to truly become a team effort.
